HVAC Install Day: Exactly What to Expect, Hour by Hour

A typical AC or furnace swap is one working day. Here's the hour-by-hour sequence, what a quality installer always does, and the red flags worth stopping a job over.

You've picked a system and a price. Now a crew is coming to take apart a major appliance, carry a new one through your house, and connect it to gas, refrigerant, and 240 volts — and nobody told you what any of that looks like. Here's the whole day, hour by hour, plus the quality markers that separate a proper install from a fast one.

Before the crew arrives

Fifteen minutes of prep the night before saves an hour of shuffling on the day:

  • Clear the paths. The crew needs a clean route to the furnace or air handler (attic, closet, basement, garage) and 3–4 feet of clearance around both the indoor equipment and the outdoor unit. Move the storage bins now.
  • Plan for pets. Doors will be open all day and strangers will be everywhere. A closed bedroom or a day at a friend's house keeps everyone calmer.
  • Leave driveway room. The install van wants to park close — equipment is heavy and trips are many.
  • Know your thermostat preferences. If you're getting a new thermostat, decide where you want it and have your Wi-Fi password handy for the setup at the end.

The day, hour by hour

Every house is different, but a typical one-day AC or furnace replacement follows the same arc:

  • 8:00 — Arrival and walkthrough. The lead installer confirms the scope with you: what's being replaced, where the new equipment sits, where the thermostat goes, anything unusual about the house. Ask your questions now — this is the best ten minutes of the day for it.
  • 8:15 — Protection down. Drop cloths on floors and stairs, shoe covers on. Power and gas to the old equipment get shut off.
  • 8:30 — Refrigerant recovery. For AC and heat pump jobs, the old refrigerant is pumped into a recovery tank — venting it to the air is illegal under EPA rules, and legitimate crews treat recovery as routine, not optional.
  • 9:00 — Demo. The old condenser, coil, and/or furnace come out, along with any sheet metal that won't be reused. This is the loud, fast-moving part of the day.
  • 10:00 — Setting the new equipment. New pad or leveled mounting for the outdoor unit, the new furnace or air handler fitted to the ductwork, transition sheet metal fabricated to join them cleanly.
  • 11:30 — Braze, pressure-test, vacuum. The refrigerant lines are brazed, the system is pressure-tested with dry nitrogen to prove the joints hold, then a vacuum pump pulls the lines down to remove air and moisture. This stretch looks like nothing is happening. It's the most important work of the day — moisture left in a refrigerant circuit quietly destroys compressors.
  • 1:30 — Electrical and condensate. New disconnect and whip at the outdoor unit, low-voltage control wiring, condensate drain with a safety float switch so an overflow shuts the system down instead of soaking your ceiling.
  • 3:00 — Commissioning. The system starts for the first time. The installer verifies the refrigerant charge, measures airflow and the temperature split, checks gas pressure and combustion on furnace jobs, and runs the system through full cycles.
  • 4:00 — Walkthrough and handoff. Thermostat programming, filter location and size, what the new sounds are, and your paperwork. Haul-away of the old equipment and cleanup close the day.

What a quality installer always does

The equipment brands on competing quotes overlap far more than homeowners expect — the real variance is in who's installing and how. These are the non-negotiables of a proper install:

  • Pulls a permit. Nearly every jurisdiction requires one for HVAC replacement. It protects your warranty, your insurance, and your resale — and it means an independent inspector checks the work.
  • Pressure-tests with nitrogen before pulling a vacuum. Testing proves the brazed joints don't leak before refrigerant ever touches them.
  • Pulls a real vacuum, measured with a micron gauge. Not "ran the pump for 20 minutes" — measured, to the target, held.
  • Measures the temperature split at commissioning. Supply air versus return air, typically 16–22°F apart in cooling. It's the basic proof the system is actually delivering, and it takes two minutes.

Red flags worth stopping a job over

  • No vacuum pump comes off the truck on an AC or heat pump install. There is no legitimate version of skipping evacuation.
  • "You don't really need a permit." You do, and the person saying otherwise is saving themselves the inspection, not saving you money.
  • Cash-only, today-only. Legitimate companies invoice, take cards, and survive you sleeping on it.
  • The scope grows mid-job. A surprise "code upgrade" priced on the spot is a pressure tactic. Anything beyond the written scope deserves a written change — agreed before the work, not during.

Duration is mostly a function of scope and access, not effort — and a crew that finishes a full system swap in three hours didn't find a shortcut, they skipped steps. If you're still choosing what goes in, size it right first and check what your project should cost.

After the crew leaves

Two loose ends remain, and both are worth tracking:

  1. The permit inspection. A city or county inspector verifies the installation, usually within a few weeks. It's normally brief and uneventful — and it's your independent confirmation the job was done to code.
  2. Warranty registration. Manufacturers typically offer 10-year parts warranties if registered, often within 60–90 days — unregistered units can default to 5. Confirm in writing who is registering yours, and keep the model and serial numbers with your closing paperwork.
